How long before I need a policy should I apply for coverage?
Since most insurance quotes are only good for 30 days, then generally you should be planning on opening sometime within the next 30 days. It will also depend on the nature of your business. If it’s a multifaceted FEC then it may take us up to 10 days or so to get quotes in from various underwriters. If it’s a single small business in one of our programs, we may be able to get you your quote within a day or two. Even on those we recommend that you give us a week or two however so that we may get you more than one quote so that you can get the best pricing.
How long should we keep signed waivers if our business requires them?
You’re not going to like this answer. Insurance companies are now saying indefinitely. The reason why is that there are instances where minors, whose parents signed for them, are now coming back after they turn 18 and suing for injuries they may have sustained. I would recommend maybe one of the expandable self contained folders with the alphabet in them that at the end of the year you can just close the flap, write the date on, and store somewhere safe. The other option that some fields are using now is to digitally scan them and save them all in a file. Make sure to save file somewhere off your computer in case it crashes. Maybe encrypt and save to somewhere like Google docs.
How far in advance should I apply for an off-premise event?

What should I do if I have an incident?
You should immediately fill out an incident report (found on our applications page) and forward to us as soon as possible along with a copy of the waiver, if applicable. It’s important that you do this as soon as possible while the details are fresh in your mind. Be sure to be specific as to what happened and then what actions you or your staff did to make the situation better. Get eye-witness accounts of the incident if possible and any pictures that may be relevant. Be as specific as possible in all your answers, like a log almost of what happened. In the unfortunate case that you’re in a legal sitution 2 years down the road, having this all documented will help keep the exact details of what happened fresh in your mind. Following up with the customer or their family expressing concern for their safety and welfare is generally a good idea also.
